Appointment reminder SMS: when to send it and what to write
Appointment reminder SMS templates for salons and clinics, with the best timing, what to include, how to fit 160 characters, and ready-to-copy messages.
An appointment reminder SMS is the cheapest way to cut missed appointments. It takes seconds to read, it is opened almost every time, and it gives the client a moment to cancel or move while you can still fill the slot. Getting the timing and the wording right matters more than most owners expect.
When to send it
- 24 to 48 hours before works for most services. It is close enough to remember and far enough away to react.
- 2 to 3 days before suits long or expensive treatments, colour appointments, or anything where the client needs to prepare.
- A second reminder 2 hours before is optional. It helps for short-notice slots and clients who often run late, but do not overdo it.
- Send between roughly 9 and 20 local time. Nobody wants a reminder at midnight.
What to include
A good reminder holds only what the client needs:
- Your business name, so they know who is writing.
- The service, date and time.
- The address, or "online" and a link for video consultations.
- A way to cancel or reschedule, ideally a link.
- Optionally one short instruction, such as "arrive 10 minutes early".
Keep it to one SMS
A single SMS holds 160 characters in the standard alphabet. Add an emoji, an accented letter outside the basic set or a long link and it shrinks to around 70 characters per part and may be split into several messages, which costs more. Use plain characters, short links and no decoration when you want to stay under one message.

SMS or email?
| Channel | Best for | Watch out for |
|---|---|---|
| SMS | Short reminders, quick cancels | Costs per message; length limits |
| Preparation details, directions, aftercare, longer policies | Often read late or ends up in spam | |
| Both | Important or expensive treatments | Do not send duplicates every time |
A practical setup: SMS for the reminder itself, email for the confirmation and any detail the client may want to keep.
Common mistakes
- Sending the reminder too early (a week out) so it is forgotten.
- No way to cancel, so clients just do not show.
- Long messages that get cut up and cost more.
- Naming sensitive treatments in clinic messages.
- Sending a reminder for an appointment the client has already cancelled.
How to do this in Calendia
In Calendia you set reminders per service: how many hours before, by email, SMS or both, with your own wording or the business default. The default SMS already includes business name, service, date, time and address. Customers can also opt in to extra reminders. You can send an aftercare follow-up a set number of days after, and a "time to come back" message that is not sent if the client has already rebooked. Everything is explained in reminders and notifications. Combined with a deposit or card on file from online booking settings, reminders are the base of any plan to reduce no-shows.
Questions and answers
How many characters fit in one SMS?
160 in the standard alphabet. Emojis and some accented characters reduce it to about 70 per part, so the message may be split and billed as several.
Should I send reminders by SMS or email?
Use SMS for the timed reminder because it is read fast, and email for confirmations and longer information. For high-value treatments, using both is reasonable.
Do clients need to agree to receive reminders?
Appointment reminders are generally treated as service messages, but marketing messages need separate consent. Rules differ by country, so check your local requirements.
