Get clients to come back: rebooking, reminders and loyalty

Improve client retention in your salon or clinic: book the next visit at checkout, send rebooking reminders by service, use loyalty cards and win back lapsed clients.

It costs far more to win a new client than to keep an existing one, so client retention is where most salons and clinics find easy growth. If 100 clients each come back one extra time a year, that is 100 more bookings without any advertising. Here is how to make coming back the default.

1. Book the next visit at checkout

The easiest rebooking happens before the client has left. At the till, say: "Shall we put your next appointment in the diary? Most people come back in six weeks." Offer two specific times rather than an open question. Even if only a third accept, that is a third of your calendar filled in advance, and clients who have booked ahead are less likely to drift away.

2. Send a rebooking reminder

For clients who did not rebook, send a message at the point when they would normally be due. The interval depends on the service:

Service Typical return interval
Men's cut / barber 3 to 4 weeks
Women's cut 6 to 8 weeks
Colour / roots 6 to 8 weeks
Lash lifts and extensions (infills) 2 to 3 weeks
Brows 4 to 6 weeks
Manicure / gel nails 2 to 4 weeks
Facial 4 to 6 weeks
Massage 4 to 6 weeks, or as advised
Physiotherapy or a treatment course Next session as per the plan

These are guidelines, so adjust to your own experience. A message might say: "Hi Sara, it has been six weeks since your colour. Want to book your next appointment? [link]". Do not send it if the client has already booked.

3. Follow up after treatment

A message a day or two after a visit shows that you care and gives you a chance to catch a problem before it becomes a bad review. Include aftercare advice, ask if everything is fine and, if you wish, invite a review. In clinics, an aftercare message is also useful for compliance with advice and exercises.

4. Reward loyalty

Loyalty does not need to be complicated:

  • Stamp card: every fifth or tenth visit earns a discount or a small gift.
  • Spend-based credit: the client earns credit as a percentage of what they spend, redeemable on future visits.
  • Package or membership: discounted bundles for regular treatments.

Keep it simple to explain in one sentence. The best programs reward visits you want, such as booking the next appointment.

5. Win back lapsed clients

Every business has clients who have gone quiet. Once a quarter, look for people who have not been in for twice their normal interval, and send a friendly note: "We miss you. Here is a link to book your next visit." A small incentive, such as a free add-on, can help. Pay special attention to clients whose last visit was a no-show or cancellation, because they may simply have felt awkward about rebooking.

6. Birthdays and occasions

A birthday message with a small gift or discount is cheap and well received. Use it sparingly and only if the client has agreed to receive messages from you.

Measure your return rate

Track three numbers every quarter:

  1. Rebooking rate at checkout: the share of clients who leave with a future booking.
  2. Return rate: the share of clients from last quarter who visited again this quarter.
  3. Average visits per client per year.

Improve one at a time. Even a small rise in the return rate is worth more than most advertising.

How to do this in Calendia

Set a rebooking reminder per service, with a number of days after completion; it is not sent if the client has already booked again. An aftercare follow-up can go out N days after the visit. Both are set up in reminders and notifications. For rewards, Calendia supports stamp-card style loyalty (a reward every N appointments or at a spend threshold) and credits earned from spend. The win-back list shows customers who have not rebooked after a no-show or cancellation and lets you send a rebooking message. For more on cutting missed visits, see how to reduce no-shows.

Questions and answers

How long after a visit should I send a rebooking reminder?

Send it a little before the client's usual interval ends, for example 5 to 6 weeks after a colour that is normally redone every 6 to 8 weeks.

Do loyalty programs really work?

They work best when they are simple and reward the behaviour you want, such as returning regularly. Complicated rules tend to be ignored.

Practices differ by country and by message type, so check your local rules. Keeping a record of what each client has agreed to is good practice.
