Every booking shows a payment pill next to its visit status, such as Paid, Pay later or Deposit paid. Click the pill to change it.

Mark a booking as unpaid

If someone marked a booking as paid by mistake:

  1. Open the booking from the calendar, or find it on the Bookings page.
  2. Click the Paid pill.
  3. Click Mark as unpaid.

The booking goes back to Pay later, shows its outstanding balance again and reappears in the cash register queue, so the payment can be taken properly. The visit status (for example No-show or Completed) is not changed.

Mark a booking as paid

Click the payment pill, or the Paid button in the booking panel, and choose Mark as paid. This only records that the booking was settled outside Calendia. No receipt is issued and nothing is sent to the cash register.

When you can't mark it as unpaid

If the payment was actually taken in Calendia (through the cash register, a card terminal, an online payment, an invoice or a service package), it has a receipt or a payment record. Calendia then refuses Mark as unpaid, because removing the flag would leave the receipt and your sales reports out of step.

Refund the payment instead, see Receipts and refunds. The refund issues a return receipt and the booking's payment status updates automatically.

How this affects your reports

Marking a booking as paid or unpaid never creates or deletes receipts, so the electronic journal and your X and Z reports are unchanged. Booking and revenue reports read the payment status, so once a booking is marked as unpaid it counts as an outstanding balance instead of as paid.
